A couple thoughts; there would be specific information at the state level and all states are not going to be the same.  From what I have seen, that information is difficult to find.
 
I am on the vendor side.  Your friend should be able to find a records management vendor in the market that has some experience with this.  Normally a vendor is contracted to work as the records custodian and provide ongoing release of information.  In my state (PA), public notice of the closing is required and for some types of institutions direct mailings to all patients is required.  The agreement with the custodian accounts for all fees upfront, including storage, for the retention term of the records, and eventual destruction.

Hello Everyone!

A colleague of mine (in another state), who is not on the listserv, has asked me to post a question for him.

They have a university owned hospital that will be closing soon.  He is looking for a checklist or advice on managing records of a closing hospital?  His university is responsible for all of the records and assets of the hospital that is closing.  Does anyone know of any checklist?  I did suggest checking the AHIMA web site and also with the Board of Medical Examiners in his state.  Any suggestions would be most appreciated and I will be happy to pass them on to him.
