This position involves serving as principal assistant to the State
Archivist for boards, commissions and other external organizations
significant to the functioning of the Missouri State Archives. The
Principal Assistant is also expected to work, on an ad hoc basis, with
outside organizations with which the MSA is engaged in project
partnerships.  These partners include universities, historical and
genealogical societies, businesses, government agencies, and private
foundations.

 

This work shall include serving as the surrogate for the State Archivist
in board and commission meetings, and as the State Archivist's
representative in business relations with individual board and
commission members, staff, and subcommittees.

 

Extensive writing and editing including grant applications and
promotional materials is an essential function of this position.

 

General Responsibilities:

The below duties related to the Missouri Historical Records Advisory
Board (MHRAB) and the National Historical Publications and Records
Commission (NHPRC ) are representative of work performed for any of the
MSA affiliated boards and commissions.

 

The MHRAB is the central advisory body for historical records projects
developed and carried out within Missouri, and the Board serves as the
state affiliate of the NHRPC.  The Board reviews and makes funding
recommendations to the NHPRC on grant applications from institutions and
organizations in Missouri.  The Principal Assistant is responsible for
organizing meetings, including retreats and regional events, maintaining
communication with the Board and the staff of the NHPRC, serving as an
authoritative source on grant-making rules and regulations, preparing
interim and final narrative and financial reports, preparing grant
applications on behalf of the MHRAB, and acting as project director for
Board-sponsored projects.  In addition, the person in this position
presents workshops on grant writing, counsels prospective applicants,
reviews draft proposals, prepares summary evaluations for the board, and
forwards recommendations to the NHPRC.

 

Liaison duties may also include, but are not limited to: creating and
monitoring budgets, coordinating activities with the fiscal office of
the Office of the Secretary of State, pursuing gubernatorial board
appointments, drafting policies, suggesting plans of work, chairing
committees, ensuring compliance with federal and state laws related to
open meetings and tax deductions, speaking to boards and external
groups, and setting agendas for meetings.

 

Outreach duties may include, but are not limited to: editing
newsletters, writing press releases, drafting speeches, composing social
media posts, preparing award submissions, overseeing membership drives
and donor relations, event and conference planning, organizing
promotional booths, arranging press conferences, and developing
promotional publications and materials, such as websites and brochures.

 

Performs other related work as assigned.

 

Skills:

Strong organizational skills.

 

Strong writing and editing skills.

 

Ability to express ideas clearly, orally and in writing.

 

Ability to establish and maintain effective working relationships with
peers, vendors, consultants, contractors, board members, and the public.

 

Knowledge of the grant application process and ability to determine
significance of grant proposals in relation to requirements of specific
grant program guidelines.

 

Knowledge of historical research methods relating to American history,
and a preferred knowledge of Missouri history.

 

Knowledge of archival principles and established archival practice
preferred.

 

Knowledge of Missouri's historical records repositories preferred.

 

Ability to travel in order to perform assigned duties.

 

 

Qualifications:

 

Master's degree in archival administration, history, library science, or
related field required.  Proven oral and written communication skills
required.  Experience in grant administration preferred.
