"but not for additional information...  What sort of additional information is this?  If these are publications or internet downloads or other ephemeral material they are not "records" under most definitions.  Dispose of them after they have fulfilled their purpose.  If this material is peer reviews or something substantial that influenced publication of a particular article then you would probably keep if any litigation ever came up. If the material is notes and drafts you could treat them as working papers and dispose of after publication of the article.  These are not legal opinions especially because I'm not certain what these materials are.  Dick King, University of Arizona

My organization conducts a lot of academic research.  This research is then published through a journal, white paper, or a book.  We have retention periods for the research and the publications, but not for additional information that is gathered to support the creation of the published materials.  Are there any list members that handle these type of research publications or have any guidance on what such a retention period would typically be?  I have consulted a couple universities and they were not able to assist as they are asking similar questions at this time.
