I'd like to get some feedback on the process others use in getting records into their electronic records management systems.

In a nutshell, our process is that the user completes an electronic form to describe the records, the records staff works with the user to designate the folder path and indexing instructions, applies the records schedule, etc., then the department manager approves the form to document authorizing destruction of the hard copy and document that the appropriate protections were identified (e.g., if the records contain PII data and who can view the sensitive records).

I'm wondering if there is a better way to get records into an electronic records system because our process can be time consuming and it creates a bottleneck to capturing electronic records.

Any comments/ideas?  How different is our process from what you use?  And how does your system work for you?  Is there a better way around this process?  Do you require the Organizational Manager's approval or can a designated point of contact provide the approval?
