Greetings Records Managers,

My apologies for cross posting, I am new to this listserv :)

As a lone arranger at a state agency that acts as a school for students
with disabilities and also provides outreach to students in other
districts, I have a question regarding physical storage of these
individuals' medical records.

In most cases, we do not request medical records from any student,
parent/guardian, or outside school district, but in some cases when the
students records arrive for assessment and consultation purposes with our
outreach staff, the medical files arrive as well. Can anyone in the records
management field provide any helpful resources on proper storage, retention
and compliance with these materials?

I know that in certain cases (eg. HR departments) the medical files are
stored separately from the other documents both physically and
electronically. It should also be made clear that these are not students at
this agency, but are only referred for assessment and consultation, yet we
maintain the files we receive on each individual.
