We are currently revising our retention policy for monitoring and surveillance recordings and are interested in finding out how long are people retaining (and are able to retain) these recordings and also the event that will trigger the retention. Our current retention is 120 days for recordings that document incidents that may lead to claims. The current policy leaves it up to the agencies to define what an incident is. We are also interested in finding out the retention you have for recordings that do not show anything. Our current policy states that recordings that show no discernible incidents can be destroyed when no longer needed.

I'm interested in finding out (especially for other government agencies - state or federal level but opened to best practices from everyone):
*       What are your retention policies for these types of records
*       How do you define an incident (if that defines the trigger for your retention)
*       What is your implementation process
*       Any additional information, procedures you could provide
