I use Fontis International's Legal Data Service (LDS) and Open Retention Manager (ORM) tool:  http://www.fontisinternational.com/
These two products in combination do exactly what you say you're looking for.  Fontis is now an Iron Mountain company, but the founders/developers of the product are still running things.  I would definitely contact them as an alternative to Zasio and the others that have been mentioned.
