Hello,

I've just joined this list in search of some wisdom. As the welcome letter suggests, here's a bit about me...

I'm a Federal librarian at the National Institute of Standards and Technology in Gaithersburg, Md. My title is "digital services librarian," which encompasses a wide array of tasks and experience - from being a repository administrator to a research data management consultant to my newest quest - records management advisor.

Currently I'm seeking information to assist a NIST office in its quest to convert paper records to digital records. While I have a lot of experience in digitization and digital preservation in general, I am not versed in best practices for records management. Since this project involves Federal records, I've done some research into what is required for submission to NARA, but I still need some help from the experts on this list.

Here are two of my questions about this digitization effort...

1. Since the records are in active use, what's the best way to digitize them without disrupting the current workflow, and continue adding to them? I'm considering an on-site digitization effort, but other thoughts are appreciated.

2. I'm finding scattered information about what to include in a statement of work for a potential scanning contracts, but are there some good resources for comprehensive guides or checklists?

Just for your information, the records are selected for permanent retention. Thanks in advance for your assistance.

Regina Avila
