I understand.....and once scanned that should be enough, another check/balance is if all accounts are settled for defunct company from an accounting dept standpoint, if the last accounting records have been destroyed....of the "defunct co." then it might be safe to "trash". Or at least schedule along those parameters. In some litigation, a request for all records for a particular business entity could be requested. So if not currently covered in a retention schedule, might be safe to hold for "x # of years".

I am not by any means an expert, as I think it’s a perplexing nuanced example in disposition scheduling..... we are still formulating a working policy here, so if you find an exact edict, please share.

Subject: Re: Minute Books for Defunct Companies

Hi,

What bothers me about that is the simple fact the companies no longer exist. So, is it that they'd be kept permanently because the overarching corporation that they were under still exists, or is it acceptable to destroy them, as I'd imagine a regular company would be able since once the company no longer exists, who'd even be upkeeping those minute books? I'd imagine permanate to only mean 'as long as the company exists' rather than 'we must pay forever and ever and ever for these records to exist even though we do not.
