Full disclosure, I work for IBM.  We have products that can assist in this
effort and with retention management as per your other request.  Another
few vendors with this capability is OpenText and Iron Mountain to an extent
on the retention management piece but may offer more. I would encourage you
to check out www.arma.org/buyersguide for other vendors in the space. (it's
a free publication)

Prior to engaging with a vendor, I would recommend getting your high level
business requirements, HLBR's, documented as this will be a key piece of
information helpful to a vendor to verify if they can fulfill your needs.
Submit a Request for Information, RFI, to each vendor you are interested in
learning more from and provide your HLBR's as part of the request.  You can
then compare and contrast against your requirements once the vendors
respond.
