Hi.

1. Livelink have version control, so you can put the PDF version over top of
the original format and then recall that for editing when you need to update
and then resave and place a new PDF document over top of the original.

2. Yes you must lock your document and this allows only the user with the
correct permission to update the document.

3. Livelink can act as a portal to other intranet content and this allows
users with the right permissions to access the URL based on the
higherarchial folder structure in Livelink permissions.  The content does
not change on the intranet site.  However, if you want to manage your
intranet content via Livelink there is a content manager module that can be
added to the basic Document Manaement System.

Any document that is created and posted on your intranet site should be
version controlled by Livelink Document management and then move to your web
content management system.

The Knowledge Center is a great resource as are their courses.  In order to
belong to the knowledge center you must be a registered user.  If I remember
correctly the give you three users to this site and the 1st ID allows you to
set up the others and contol the others at your end.  I would suggest
speaking to your relationship manager to get your user id and password.

I am also very familary with the workings of the Records Management Tool of
Livelink so if you need any assistance with the security setting let me
know.  I worked at a company and we struggled for an entire year with this
module in Beta Release.

Finally, there is also a Ontario Livelink user group via Yahoo groups and
they meet occassional to discuss the product issues / concerns of the
product without always having an Opentext rep at the meetings as the
learnings are from a differnt perspective.

Center and Records Management Discussion List that is available to

Dear all

Happy New Year!

I am a newcomer to the EDMS. I am working in a toy and
games company. We are planning to upload the
electronic quality assurance product files into the
Livelink (EDMS). We have some questions regarding our
design. Just wondering if you could give us some
advice.

1.      If we save the documents into PDF format in the
Livelink, is it possible to change it back to their
native format for updating the documents in the
future?

2.      If we use the renditions capability, we may save
the documents as PDF as well as their native format.
Is it necessary to save the native format in
"read-only" to "lock" the document?

3.      There are some external databases, such as
Intranet, in our company. Some of our colleagues
suggest to hyperlink them with the Livelink. The
databases are only allowing some staff to "read-only"
and restricted access. However, there is no audit
trail. Will the integrity and authentic of the
documents be affected?
