Well not to put to fine a point on it, but content is the least of our
worries in the database environment. Your IT department will ensure
content. What they would call data integrity. Everything falls to us and
believe me there is a lot to consider.

As far as a guideline.... Well a few of us worked on it a while back.
Unfortunately life caught up to us and we didn't finish up. (I blame
Bill Roach). The factors that need to be considered grow exponentially
as you address database and ERP in the context of records management.

Bill do you still have the list of factors?

Assuming all records will be migrated to the new system, then the only
reason you'd need to retain the old database is for backup purposes,
which your IT group no doubt has covered. For records retention
purposes it's the content, not the medium.

We are about to change over to a web based database system which will
replace the database in use since 1994. Can anyone please suggest
where I
would look to find out about retention guidelines for databases - what
I
should be looking for, what I need to be aware of, etc. I realize that
it
is organization specific, but in our case the database was the brain
of
the organization. IT says that they will try to keep the old system
functioning as long as possible but that the technology is no longer
supported and the hardware that it it running on may not survive much
longer. All the data is of course being converted to the new system.

Thanks
Ilana Lutman
