Barbara, I'm envious.....executive approval, that would be nice. 

We are also planning a "records clear out day".  I gave a outline to HR 
that included:

Clean your files week.  Clean up of electronic (emails, Word, WordPerfect, 
spreadsheets)  and paper files.
Staff spend a portion of the week signing off on paper records which are 
due for destruction according to the retention schedule.  These will come 
to staff the week prior to the cleanup week.
We have awards for staff who go "Above and beyond the call" in arranging 
for signoff of records or who have substantially got rid of paper or 
electronic files.
"the largest stack" contest for those who can compile the largest pile of 
paper for recycling
"Best paper monster" contest for greatest design using recycled paper
On Friday, we will have a shredding truck available for shredding records 
and doc's that contain personal information on them.
Staff are able to "dress down" for the week

Originally, I had suggested one day but was shot down as we can not close 
down for a whole day.  so I've suggested a week.  With executive approval, 
I would suggest pizza lunch for staff and refreshments throughout the day.

Records Clear Out Day






I'm pretty sure that this topic has been discussed in the past but my 
search of the archives has netted me nothing.      We are in the planning 
stages of our first ever, but soon to be annual,  records clear out day. 
Employees are going to be encouraged to come to work in jeans, make no 
plans for meetings etc, and spend the day clearing our their offices, 
personal drives, shared drives -- all in accordance with our retention 
schedule.

Being the first ever, we need to 'rally the troops' and get some 
enthusiasm going.   Any suggestions on how we can accomplish this? 
Balloons??  Brass band??

I should mention that we are looking to motivate approx 1800 employees at 
3 sites and have received full executive approval.


Any ideas would be much appreciated.
