 We have an email archive system that keeps anything (except junkmail)
that has not been deleted after 28 days.  We are in litigation now so
they have not set a retention period. This was a legal decision. I had
no input in this decision....

archiving solutions are not recordkeeping solutions at
http://www.naa.gov.au/recordkeeping/rkpubs/advices/advice69.html.

Even though it is aimed at the Australian Federal Government, it should
help
you address some of the issues involved.

Has anyone successfully implemented an email archiving solution?  If so,
I would love to hear your thoughts on the following...

 

I understand & agree with the need to retain/dispose of email based on
content & the retention schedule.  Does your system require email users
to "declare" emails as records?  Or, does your system automatically
archive emails for different retention periods based on keywords &/or
the To/From?  Or some combination of both?  With over 20,000 email users
of widely varying technical abilities, we hope to make our system as
automated as possible, keeping user involvement to a minimum.  Is that
do-able?
