One simple rule for Instant messaging/email/chats round the water
cooler/etc - If it is worthy of being called a record, then it needs to
be captured into some sort of recordkeeping system.

It does not have to be kept in the IM sytem - probably preferable that
it isn't. Your recordkeeping system could be a full blown electronic
document management system, or it could be a paper file that you attach
a printout of the record to.

You probably do not have to capture the exact text of the conversation.
You can generate a "note for file" to capture the essence of the
conversation - exactly in the same way as if you had a face to face
meeting with someone - "I met with X, we discussed Y and Z and we agreed
that X will do H and I will do K"

So, my advice - have rules on what should be captured as a record and
have a system in place to allow people to capture those records. Those
two things should cover all your recordkeeping needs (hopefully :) )

I am meeting with our IT folks next week to discuss archiving of IM.
Would llike the views of others that are finished or are in the process
of doing something with IM. I'll also accept the views of others who
want to put in their 2 cents worth. Thank you.
