Folks,
Couple of points about my post and an answer for Nolene Sherman.
1. While retention periods are an absolute for those of us in Arizona
that fall under the state records laws and regulations it is recognized
that some records cannot be disposed of at the normal end of their life
cycle because of litigation, audit, accreditation issues, etc. As Larry
medina noted, these retention period extensions need to be documented
and the records need to be disposed of as soon as released. Claims of
"I just want to keep them around" are not sufficient grounds to extend
the retention period. If the owning entity cannot be disuaded from such
a course then I will work with the entity of change the retention
period. However, unless the arguement for extension is solid and
logical (i.e., change in law or regulation best business practice, etc.)
the State does not have to approve that revision.
2. I believe my department gets it half-boxes from Metal Edge. They are
esentially half of a 1.2 CF box divided the long way so two of them are
slightly larger in width than a standard box. we put them side-by-side
on the shelf and they act (in supporting the box above them) as a normal
box. I believe ours are obtained from Metal Edge. These half-boxes are
also perfect for storing 78 RPM records and larger tape reels.
3. Don't know how vendors would charge for these as I run my own
storage facility but, as noted above, they basically only take up a
fraction more space than a regular box.
4. Anyone who has gone through an interogation, Uh, I mean a deposition
with a hostile lawyer(s) knows that the fewer things one has to explain
the better. Were I the one deposing you (the person who had stored
multiple records series in the same box in contradiction to standard,
professional records policy) I would press you to explain to me that
records had not been co-mingled, pulled by mistake when looking for
something in the other record series, and how you know and can prove
that records from the series under litigation hold were not destroyed
when you disposed of the other records in the box that were up for
disposition. Oh, you didn't dispose of them when they were at the end
of their retention period? So your records program is arbitrary and a
sham? You get the drift. Trust me, it actually gets a lot worse than that.
5. KIS
