When I heard rumors that our building's management was considering
offering a recycling program to its tenants, I decided to act
preemptively. It is our law firm's policy to shred all confidential
materials, be they the firm's or our client's. However, I still had
visions of confidential materials ending up in the building's recycling
dumpster...
 
Our goal is first and foremost to protect the firm's, and our client's
confidentially, while being as green as possible. My questions concern
the practical aspects of a confidentiality/green program. The procedure
must be workable for the individual on a daily basis. We could give each
employee three bins, one for trash (cups, food stuffs, plastic)
recyclables (non-confidential paper/cardboard products) and shredables
(confidential). Too much time and effort. We discussed the possibility
of two bins, one for trash and one for shredding; everything that is
shredded would then be recycled. In theory, I don't think this is
unreasonable.
 
My questions and issues concern the practicable (no matter how many
bins, or how we define, as a matter of policy, the proper contents of
each): who empties (cleaning staff, administrative support staff,
attorneys, each individual) each confidentiality bin; and into what (a
few large, 65 gallon, collection totes centrally located, smaller
collection bins spread out on each floor) and they emptied? Do we even
give each office/individual a bin? We could just leave it up to the
individual. The idea then is that the Records Center staff would
empty/collect the bins in a timely manner (2-3 times a week?) and that
our shredding company would provide dockside shredding services as
needed (once a week?). The trash bins are collected by the building's
cleaning service.
 
How are these issues handled elsewhere or what suggestions might you
have as to how I might address them?
