All,

Are any of your organizations maintaining your Bills of Lading (BOLs)
electronically, and if so, have you had any issues?  My question is
directed primarily toward petroleum and transportation companies,
although I am interested in thoughts from others who can provide me
examples.

Some background - I'm the records manager for a major petroleum
refiner which also operate terminals and pipelines primarily in the
east and mid-west U.S.  We currently maintain all of our BOLs produced
at our terminal facilities in paper.  As Mr. Whitaker would say "I
hate paper" and in this case I totally agree with him.  They have
become a pain in the neck for me.

Our IT department is upgrading the system that produces the BOLs and
the project manager has approached me about storing them
electronically, either in PDF or TIFF.  All my research indicates we
can maintain them in either format as long as we can find and produce
them when asked by local, state and federal inspectors.  My terminal
and legal groups agree with me.  But before they commit, want to know
how other companies are maintaining them.
