Each organization has their own style of announcing such decisions. Not
knowing the size of the institutions and number under yours lets assume that
none of them have selected such a vendor. If we start off with that, then
your message can be crafted using the following acronym MADE
M = Message " As part of our disaster continuity plan the X has selected
Vendor Y as the sole vendor for disaster recovery operations. Vendor Y was
selected through a rigorous process. (this can be fleshed out)
A = Action that you want the recipients to take e.g. Vendor Y requires the
names, telephone numbers (land and wireless) and email address for all
authorized contacts. Please send this information to Z by <date>. If you
have any questions please contact Z
D = Details of why Org X has selected Y, the selection process etc
E = Exhibits brochures, pamphlets contact information for the vendor.
if any have selected a vendor they will let you know
