We moved our records from a commercial vendor to our own facility just about 3 years ago. Given our usage and including hostage fees & moving costs, we've already paid for our move.
Now a few things that were already in place - we already had warehouse staff, appropriate shelving, tracking system, security, & equipment. We already had established transportation schedules. A little learning curve for our warehouse manager, but we're a team and we work out training together.
My clients love that we manage our own materials. I have a large workroom, copy machine, & scanner. If we have a large amount of materials to review I can bring my clients to the records as opposed to the reverse. I share some of the work space with our archivist. That has been a huge boost to our working relationship and I love being able to communicate directly with her.
Please realize that this is a very high level summary post. This move was well planned. I think I worked with our engineering and warehouse teams for 6 months prior to moving one solitary speck of physical material. I thoroughly explored switching vendors as opposed to moving into our own warehouse and also staying where we were.
It was amazing to me how much "stuff" we had rat-holed away at our old vendor's facilities that either wasn't identified or should never had been stored in the first place. Can't blame folks though - they didn't have a records program and they didn't have me to build it.
