SUMMARY OF POSITION



The RIM E-Mail Management Archive (EMMA) Help Desk Specialist is responsible
for assisting the RIM Program Officer or designee in the daily execution of the
RIM Program in the area of providing help desk support for the pilot and launch
of the Company’s E-Mail Management Archive. This role also provides support to
the other RIM areas when workload and priorities determine.  This is a
temporary position that will run approximately 18 - 24 months.



POSITION ACTIVITIES AND TASKS



RIM Help Desk & Training Support - EMMA (100%)

•    Provide front-line support and address help desk inquiries
regarding the use of EMMA, specifically in the area of:

o    identifying e-mail as records;

o    when e-mail is considered a record;

o    Company policy inquiries related to employee
responsibilities as it relates to e-mail management;

o    Best practices in classifying, filing, and managing e-mail
records

•    Run reports from LMS or various vendor systems indicating
training completion by BU/Organization weekly, cross-referencing with other
information, including McKesson Mailbox Directory, SAP, HR, etc.

•    Coordinate notifications of upcoming trainings and
delinquent training status.

•    Manage and organize RIM Mailbox regarding all EMMA training
communications.

•    Meet deadlines and service level agreements consistently as
they relate to primary support of EMMA



EDUCATION LEVEL REQUIRED



Associate’s Degree.  Preferred areas of study include but are not limited
to:  Archives and Records Management; Library Sciences; Business
Administration, Project Management, Information Systems, Computer Sciences



EDUCATION LEVEL PREFERRED



Bachelor’s Degree.  Preferred areas of study include but are not limited
to:  Archives and Records Management; Library Sciences; Business
Administration, Project Management, Information Systems, Computer Sciences

EXPERIENCE REQUIRED



Associate’s Degree Candidates - 8+ years of experience, with minimum of 6 years
related experience (e.g., records retention management, general records
management, program management, project management, etc.)



Bachelor’s Degree Candidates - 6+ years of experience, with minimum of 3 years
related experience (e.g., records retention management, general records
management, program management, project management, etc.)



•    Prior experience administering customer service support
operations (maintaining electronic mailboxes, help desk triage, etc.)

•    Prior experience in administering records/document
management related databases & systems.



TECHNICAL KNOWLEDGE AND SKILLS



•    Strong knowledge/expertise of current and emerging
electronic records management principles and practices, specifically in e-mail
management.

•    Working knowledge of retention requirements for all major
U.S. Federal laws (e.g., SOX, HIPAA, Code of Federal Regulations, Hatch-Waxman,
etc.)

•    Strong knowledge and experience in working with electronic
records management/document management systems such as Autonomy, Zantaz,
LiveLink, Documentum, FileNet, OmniRIM, etc.

•    Proven strong analytical and problem-solving skills when
working with departmental colleagues to conduct ad hoc analyses to evaluate
current records and documentation processes

•    Proven ability to use electronic documents/records
repositories and various databases to do research/provide information

•    Proven ability to work both individually and within a team
environment, build strong relationships and maintain rapport with departments.

•    Proven ability to develop and manage issue resolution and
actively resolves issues.  

•    Proficient in MS Office Suite of programs.
