It is most important that you have a current Corporate Retention Schedule in order to efficiently transfer records to off-site storage and to track their life-cycle.  The ARMA International Bookstore (www.arma.org) has a number of good publications to help you in developing a Schedule, including "How to Develop a Retention Schedule" by John C. Montaņa and the Guideline "Retention Management for Records and Information."
