Dear Listserv Members:

I am a Records Specialist in a law firm in the Boston, MA area. We
currently use Microsoft Access to maintain our database of off site
storage records. There are approximately 33,566 records in this
database. This database was started a long time ago and was a database
that I inherited when I started with the firm. We do not have a
Records Management system within the firm.

During a recent review of our storage company's online storage database
we noticed a number of discrepancies between what our storage company
has indicated in storage with what we have in our records.

Some of the discrepancies we have found are as follows -

- Boxes listed in our storage database but not in our storage company's
online database, and vice versa.
- Boxes we show as having been recalled from storage which the storage
company still shows as in their possession, and vice versa.

My question to the listserv, and those in law firms in particular, are
these -

1) What do you do when you come across discrepancies such as this?
2) What recommendations do you have for rectifying this errors?
3) What cost v. benefits do you see in trying to rectifying this errors?

Thank you.
