Carlo, welcome to the Listserv!  You will find a wealth of knowledge and not a few opinions as well.

As to your question, I highly recommend that you use the Listserv Archives (you should find information about the Archives in the welcome message when you joined the Listserv).  There has been a lot of discussion about the topic over many years.

We, that is most Records professionals, always approach this concept with caution.  Your "email retention policy" can be taken a couple of ways.  If the program you reference is a methodology for users to preserve email messages with metadata into the appropriate repository that is great.  And you can restrict the time they have to make this decision before the email auto-deletes, again as long as there is a known process to preserve what must be kept.

What you cannot do is define email as a records series and treat it all the same.  As one of my colleagues puts it "That is like saying we will keep all blue paper for three years."  You have to look at the content of the message, not the type of media.  Treating all email the same is not a prudent nor defensible policy.
