A lot of stuff is sent through email which really ought to go on a
shared network folder, a Sharepoint site, a Wiki, or the equivalent.
That way the message doesn't clutter up a bunch of servers as it hops
along, and it "stays" in ONE place where it can be backed up, versioned,
found, and killed as appropriate.
