Good morning Alex.  A backup or the process of backing up refers to making a copy of data so that the additional copy may be used to restore the original after data loss due to corruption or other disaster.  Backups differ from archives in the sense that archives are the primary copy of data, usually put away for future use, while backups are a secondary copy of data, kept on hand to replace the original item.  Your guidance document or standard should define how you mange backup tapes and the length of time before being placed back in the pool. (e.g.  weekly incremental, 30, 60, 90 days).

More and more I realized that the answer is also depends on the tools used.
Yes, before it was simple - paper based original, in some cases the "CC", hopefully without "BC".
 
Now we have paper based invoice, electronic records for processing that invoice, and also we have... back up tapes.
This what I don't know yet, because all these SAP are only ??? 10 years old.
Yes, I get approval to destroy municipal tax payment records, in my situation,  after all requirements are met according to internal policy, but I was surprised/ shocked that the information about payment is stored into the system and nobody is going to destroy it.
The municipal tax can see all payment history  from the beginning...
 
Also, nobody is talking about back-up tapes at all.
 
OK, it is taxes, but it is possible that the same situation with AP.
Invoices are destroyed in AP, but the copy are saved in the ??? Facility and property management department until project is done, depends how the records are organized.
Ok, all papers destroyed in "February" after 6 years, but monthly and annual back-ups???
May be I'm completely wrong???
