My law firm is looking for ways in which we can start to reduce the costs and volume of storing files off site.  One way they want to do this is to start looking at what we have stored off site to see what we can start destroying.  However, we do not have a retention or destruction policy in place and one has never been included in our engagement letters.

I recommend that we start by looking to modify the engagement letter to include language in it about when we will destroy their file.  Does anyone have an example of the language they use in their engagement letter to inform the client about their Retention and Destruction policy?

Also does anyone else use Microsoft Access to store their off site records?  If so, what information to you make sure you capture at the time of entry to make sure you can run accurate queries and reports from the database?
