I pass this message on from a firm in Saudi Arabia looking for a consultant
that can help one of their clients move into the 21st century all-digital
record keeping.  Note that they are still in the exploratory stage and
still need to define the full scope of the work .  If you are interested

“We are a consulting firm that specializes in providing, among many
offerings, physical archiving services that include receiving documents,
indexing them, scanning them, recording them into the archiving system and
send originals back to the business owners. All this take place on the
premise of our client. The client is Jeddah Municipality, Saudi Arabia.
This client has millions of documents that range in dates from 50 years ago
to today. These documents are distributed in main site and 13 other branch
municipalities. Couple of fire accidents occurred recently that made it
essential to preserve these documents electronically. Several initiative
took place to archive back log documents as well as electronically scan and
archive each document that come to the municipality. However, the client
and us believe that these activities are not adopted as per best practices
and there is room for improvements. These documents are to be classified
into Current (less than 5 years of age), Middle (5-15 years of age) and old
(more than 15 years of age) documents. For this, and in view of the strong
business relationship between us, the business owner at the municipality
requested me to help him co-writing a document that will detail areas of
improvements. These areas include, but not limited to:  ****

·         Study on the possibility of transferring the municipality into
paperless organization, and the readiness of the municipality in terms of
infrastructure and employees to such transformation****

·         Study on the locations of the main Archive at the main
municipality building and the branch municipalities sites. The study will
include total number of documents, shelves status, how to optimize managing
these sites and areas, and transforming these documents into electronic
documents to save spaces****

·         Study on current archive sites status and classifying them into
current, middle and old/historical archives and number of documents in each
site****

·         Study on Record destruction policy and its alignment with best
practices and national policy****

·         Study on all types of documents at the municipality  and
inventorying types of application forms used in the municipality,
classifying and indexing these forms.****

·         Study about the ideal solutions for preserving old documents and
listing projects that can be executed to preserve old important documents. *

·         Study on the ideal operation policies and procedure of the
Document preserving center and required equipments to achieve that****

·         Any additional ideas and recommendations from your side****

Finally I want to emphasize that we are in this stage helping our client
write a proper tender document that include his needs of consultancy work
to achieve optimal operations in his record management and archiving
business unit. ****
