The law firm I work for is 10 years old and we are looking on ways to reduce the volume of records that we are currently storing in off site storage.  We have administration files pertaining to attorneys chron files, timesheets and some attorneys personal files for files never opened with the firm.  Other administrative files include marketing files, billing and accounting files.   The types of cases we have are insurance and tort litigation, real estate, corporate, estate planning and probate, and business litigation.

Currently we do not have a Records Retention and Destruction policy and we do not have any language in our engagement letters regarding the destruction of files.   However, we are looking to work on implementing these and would appreciate recommendations on what should be included.

I would appreciate any language or recommendations anyone can provide and/or share in regards to how they handle the destruction of old files that are maintained in their off site storage account.
