Hello, 
Combination of my previous experience:
 
- Client's representative responsible for file retrieval - his / her signature, may be in electronic format, the same way as UPS, FEDEX, and other good courier services use,
 
-Communication with client - e-mail  / recorded phone message, or other formats that clearly stay that "requested files are delivered"
 
- If you have in your agreement part related to your way of communication with client, simply use it - let say client should notify the service provider about receiving / not receiving items ordered, service provider should let client know about date of files be picked up ( if you have it on your contract)
 
-  Friendly reminder that client pays money for empty space in records centre while files are remains with client, and the price is more than sending the same files "back" as new items

Hello  

Hoping to get a different perspective regarding tracking and monitoring
of files with high activity.

We are a full service record storage center with automated bar coding
tracking capabilities. Tracking the files once physically scanned into a
work order is not a problem on our end. The problem is tracking the
files at point of delivery/drop off from our customers courier etc. 

My question is this; What is your process in order to track files being
dropped off (for re file service) to your storage center?
