Just a word of caution: don't get too focused on the tools and methods.
Focus on your goals.
It doesn't matter if you are filing in a cabinet, email, sharepoint or
network servers; or using big buckets or little buckets. The key is to
make sure you will achieve your goals. You mention retention so I assume
that is one of your goals. Will your chosen tools/methodologies allow you
to apply and implement your organization's retention policies effectively
and efficiently? Will you be able to access and retrieve
data/documents/information as needed? Will you be able to delete the
data/documents/information in compliance with your organization's
policies? There are many more questions you need to ask.
I suggest that you make a list of questions that reflect your program and
organization goals. If the tools/methodologies allow you to meet your
goals then go for it. If not, you need to reassess these
tools/methodologies and make a different selection. Let your advisory team
help answer the questions - they will see it through the eyes of the
business functions. This is a great opportunity to discuss the business
needs as well as the records management needs.
