Dear Claudia
I ran into the same issue in my professional career. When I worked in
Retail, we kept product engineering records for the life of the Material
Safety Data Sheets that went with them (excluding those that underwent
product recalls). Now that I work for a railway company whose engines are
still running after 150 years on track that has been under constant repair
and replacement for even longer, I keep them "indefinitely" and schedule
various batches of the records for periodic reviews every five years. We
look for segments of records where assets have been abandoned for long
enough to give us a comfort level to approve destruction.
I agree with Pillar that you have to look at the risks in your industry
before determining what to press for in terms of destruction or "review"
until certain statues of limitations are past or there has been little or no
activity for so many years that it would seem unlikely that you would ever
be required to produce the records.

Angie

Subject: Engineering Project Folders
Hello all,
I was wondering if anyone out there has any policies/procedures in place
that they can share for Engineering project folders. I am looking for
retentions and a uniform way to create these project files
(electronically). The problem we are running into is that everyone
wants to keep anything and everything in these folders forever, even
when the project is complete. Can anyone share what you do at your
company? Thank you in advance for your help and replies.
Thank You,
Claudia Didley, PHR
