Angeline,

In the process of implementing an ECM program within ENMAX
Corporation, I quickly realized that the demands of the user departments
are different from the needs of the corporate Records Management function.
Departments are interested in the management of information for the
following reasons:
1. Reduce lost or misfiled information or documents.
2. Provide faster access to their information.
3. Reduce their storage requirements.
4. Improve their work processes and organizational efficiency.
5. Enable them to meet their operational requirements.
To avoid confusion we have used the term *document management* to
describe the above functions.

As a corporate entity we need to address the following functions in
order to effectively reach the objectives of the above document management
needs and to ensure compliance with legislative, regulatory and corporate
requirements.
1. Identify transitory documents/information vs. official records.
2. Apply standard naming conventions to all information/documents.
3. Ensure proper retention and disposition of all information/documents.
4. Develop and apply corporate IRM policy and procedures to all
information/documents.
5. Enable e-discovery/compliance/legal holds to all information/documents.
6. Address business continuity/vital records issues.
7. Maintain an centralized indexing system for all information/documents.
To avoid confusion we have used the term *records and information
management* to describe the above functions.

I hope this information will assist you in resolving your issue.

Respectfully,
Sam McCollum, CRM, MBA, ERMm
