Julie and Mary,

I think we agree on the most fundamental issue, that records managers have
been doing data maps since forever. Where I might be differing is that I
believe the creation of the data map gets done during the creation of the
retention schedule in the inventory phase. For me, the inventory phase
collects all the basic information for the taxonomy and what we're calling
here the data map. The retention schedule and the data map are two of the
products that result from the Inventory phase as do policies and procedures,
regulatory guideline matrix, Information Governance Council, training
materials, technology architecture recommendations, etc.

I have found that collecting the information for the data map, and all the
other materials doesn't take any longer than just doing the retention
schedule, and the results mean the organization has what it needs to create
a vision for Information Governance. I guess I should stop calling it the
"inventory" phase and start calling it the Information Governance Visioning
phase, but the devil is in the details. There are so many hard stops, train
wrecks, compliance, and transparency issues uncovered in this phase that
it's hard to know what to call it. In interviews I often feel like a
therapist trying to non-judgmentally help the serial killer figure out why
he doesn't file his blood sample slides (I watch Dexter) in some order other
than chronologically. It is the sum of all those small pieces of
intelligence that, analyzed, help to describe what is possible.

I'd love to hear your thoughts!

Best wishes,
Carol
