Greetings Craig,

In response to your inquiry about a better method of making sure your box contents lists are complete and accurate....an alternative is to have all the contents of the boxes scanned and use document header extraction technology instead of indexing the documents (or files) after scanning.  The greatest cost of scanning is indexing the images, depending on your indexing requirements.  Document header extraction can be done with software once the paper is scanned.  The result is a list of all the documents in a box by document header or title.  

This method is generally used to identify high value documents. When complete, you have all your documents scanned, searchable and a complete inventory of document titles by box. The documents are not indexed by field, but that can be done later as needed.  Or you may choose to only index the high value documents or documents with longer retention requirements.  This method is more accurate than a human inventory and in cases can be less expensive than the cost and time it takes to go through each box and key in the inventory. The cost can be further minimized if you don't need to have the files re-prepped.
