Subject: How do you handle records / legal hold orders?

Good morning,

We have a legal/records hold order in place, but would like to strengthen it.  I'm wondering if some of you wouldn't mind sharing your process for issuing, tracking, and otherwise handling legal/records hold orders?  We're especially interested in what you do when new employees come on-board, how are they notified of hold orders if they inherit a position that might have relevant records?  Or, what about when employees who may have had relevant records, change jobs?  Does the transferring employee have any continuing obligations?  How is the incoming peson transferring into the job notified?

Also, how do you track hold orders?  We use a list posted on the RM SharePoint site (and is accessible to everyon on our Intranet) to identify all active hold orders, and we've built a simple workflow that delivers a PowerPoint training presentation to key records custodians as identified by counsel, and then tracks their completion of that training, automatically.  It just seems like we ought to be  doing more....

I know that there are reference materials in the ARMA Bookstore in this area, but wanted to start here first, to see what others are doing.  I will also search the Listserv archives to view past discussions.
