Lee, a couple of managers retain access to all bins in each office.  Some of our readers might be shocked to hear that we also provide bins that remain unsecured.  How can we justify such a practice?

Each industry is different.  And security needs differ within an organization from department to department.  Our Accounting and HR folks have only locked cabinets for what I believe are obvious reasons.

But my users have their own needs and demands.  Much of the volume, if not most, contains information that would compromise the organization only if it became visible outside of the company.  It is of no harm to those within.  And my users have pointed out to me that there is just as much exposure to documents on desks and in the file rooms as there is in the open shred bins.

We do provide locked cabinets for everyone to use.  There are materials that require a higher level of confidentiality.  But much of the content only requires security when it leaves the firm.  And we get a much higher level of compliance when users can dump a box or container of paper into a destruction bin rather than to have to feed it a few sheets at a time.  No system is perfect.  I believe getting people to use it is preferable to discovering that some refuse because we haven't made it easy to use and that content ends up in the recycling or waste environment.

As I said, industries differ.  This works well for us.
