If the incident reports are used to document any type of work related injury/potential injury, then OSHA requires a 5 year retention. Since our surveillance tapes are considered part of our security guard reports, and the work incident reports are separate, we keep the tapes and security reports for 3 years based on the Virginia limitation of actions for filing a suit for personal injury.

Subject: [RM] Security Incident Reports/Security Guard Reports

Hi everyone!

Just a short re-introduction, as I am primarily a lurker: I have been in RM for more years than I care to remember, working in both the public and private sectors. I currently work at Sprint, where I've been for 13 years.

I have what I hope will be an easy question. I searched the List Archives but the only thing I could find about this was back in 2008 and it didn't really address my issue.

Is there any documentation available regarding the retention of Building Security Incident Reports or Security Officer Reports? We have been keeping ours for 3 years for ions but I can't find any laws/regs which justify that retention.

Thank you,

Laura D. Lamont, CRM
