UCSD is grappling with this issue these days. The evident concern I
have is that so much of the public's business is being conducted through
the use of email as the communication tool. The idea of keeping it all
or forever implies a lot of different conditions have to be met. While
Don Skupsky succinctly makes the case that email retention should follow
stated retention policy, ascertaining which type of record, based upon
email content is not that easy or uniform.
This leads to a longer retention period for casual correspondence and
the ability to ascertain records that are created and managed in the
public's interest.
I certainly would be glad of your feedback, from your varied experience
steps for managing email in a real world working situation, where by
policy the recipient is the records custodian and has to make the
determination.
