I may have missed some posts, but I don't recall anyone touching on the fact
of who owns the e-mail, and who should archive it.
Although I have limited time using e-mail archiving we used the following
criteria on who archives what, and we went by content of e-mail for
determination of selecting appropriate retention schedule.
1. In-house originator archived e-mail,
2. If expecting answer back from in-house staff, always respond back using
the original e-mail, and the originator is not to archive e-mail until all
responses are completed. This would disallow multiple archiving of the same
information.
3. Outside e-mails should be saved by them. However, if the e-mail is
considered a record, then in most be archived by the recipient.
There are more rules, but I feel these are the top 3. Of course it all
hinges on the staff to follow the policy and procedures set-up in their firm.
Anyway's that's my 2 cents worth.
