Hi, Earl,

Records Management at American Honda Motor Co., Inc. stores items sent to
it by the Technical Library.  The retention schedule has a classification
code for library reference materials - 100 years.  The items include
studies prepared for American Honda by others, and magazines in which our
advertising has run, for example. However, the policy and procedures for
the Technical Library differ from a business department.  The Technical
Library determines when and whether it needs to return the materials to
their shelves or to deacquisition items.  We simply provide offsite storage
and access.  Anyone in a department with magazines, for example, is steered
to the Technical Library who determines if the magazines are needed or can
be destroyed.  Their business records, however, are scheduled the same as
the other departments and managed by us to the corporate retention
schedule.

So, a retention should be in your system to cover those materials and you
should also have a policy and procedure covering them.
