I don't agree that samples are records in the majority of business
climates. Documentation of the acceptance of the contract based on an
examination of the samples are records, but the samples are artifacts,
not records. Once the contract has been approved, they are relatively
worthless. By this logic, the actual purchased uniforms would also be
records of the purchase, subject to records retention requirements.
There may be other reasons to keep the samples (they are really cool and
would look great in our museum!), but in most instances records
retention would not be one of them.
BTW, be careful of sample hazardous chemicals. Make sure that the vendor
agrees to take any unused materiel back, otherwise you may be
responsible for disposing of them. Unless, of course, you want to keep
them for records retention purposes. See where this could lead?
