Hi, Kelly,
American Honda Motor Co., Inc. has Record Coordinators in each cost center.
Usually, they are the Administrative Assistants or the person who maintains
the active files.  The cost centers with quantities of files like
Purchasing and Accounting create electronic inventories of what is in each
box down to the file or document level, to whatever detail they need.  So
Tax and Legal go to the cost center first and get possible box numbers from
us.  When a smaller cost center with less of a need to organize its active
files is requested to provide records from storage to Tax or Legal, it
works with us to figure out what boxes the records could possibly be in.
Then the cost center staff has the joy of inventorying those boxes.
Because we keep "From-to" dates and have periodic Record Coordinator
training to reduce the "Misc. File" boxes with "Various" records in them,
and because I run aggressive searches on the electronic database, these
types of inventories run less than 10 boxes, usually.
