Kate asked "I am after benchmarking on how much it costs to maintain a physical file...."
 
The typical cost of storage that i recently came across in the is around $0.15 to $0.35 (US) monthly per box. As Stephen said in his earlier posting the real cost is in retrieval and delivery.
 
In addition to the retrieval and delivery of $10 - $50 some of the other miscellaneous costs include
- Cost of vendor branded boxes  
- Receiving
- A new "Fuel Surcharge" (with fuel prices going to hit $5 - i can bet that i'll be seeing a lot of "0's" in the next invoice)
- Refilling
- Destruction
 
Factor in about $0.15 - $1.25 per box for the above extras
