In the Exchnage server environment ( for Outlook) pre-defined folders can be built now using public folders. Permissions can be built around public folders, so there is some level of security.  A free search tool like X1 indexes sent and received email. I don't have enough time in my life to try and manage all the email I receive. So even I have to use advanced find or X1. I can use X1 to locate email by sender, key word or phrase on the subject line and/or in the body of a message. Sometimes I do this just to move a pile of mail into a folder. I still have to weed down from there.
 
Yeah...a really big file cabinet. Hardly an elloquent solution.
