A duplicate record is a reproduction of the content in the official or administrative copy. By definition, duplicate records will contain the same information as the administrative copy. The duplicate shouldn't be retained, but should be discarded as soon as possible so that there is no conflict with the information contained in the administrative copy that is being retained. If a user does keep a duplicate for their use, it shouldn't be retained longer that the original that contains the same information.

Subject: Administrative Vs. Duplicate Copies

Greetings Everyone,
Can some one please differentiate among an "Administrative Record"
vs."Duplicate Record". To my understanding the original record is to be kept
by its creator, however what will be the retention for "Administrative
Copies"?

Thanks
Mohammad Mumtaz
