Hi Ann,
I believe they go to an "archive" status and then they are deleted from there. I show them on the retention schedule as "office" CY+2, " Storage" 3, and "Total" CY+5 - meaning they are stored online and are accessible for the current year plus 2 years then they are archived for 3 years, then purged when that 3 year retention is met (CY+5 total retention). These three columns are standard on our retention schedules for paper records and I just use the same format for the SAP records.
How do you handle tax audits - when auditors come in to audit your financial records?
