Good morning,

I have to admit when I first saw subject line to this post about imaging services my initial thought was document imaging, not human. The thread has peaked my interest however because the company I work for not only provides software solutions, we also have a very large and successful conversion services division.

As a software solutions vendor who often has to send our engineers and other staff members to customer sites, especially sensitive areas, it is no longer uncommon to find that our employees are required to be physically escorted and or surrender cell phones and other similar devices while on premises. This is particularly true with defense contractors and customers that deal with sensitive and personal information as part of their day to day business process.

As a conversion services provider we have quite a detailed and lengthy (perhaps even draconian) set of work rules and standards of conduct for Image One employees and the company regards them seriously.  The use and possession of cell phones and other electronic devices are a very important part of the work rules. Employees are expected to follow the rules and standards faithfully in doing their own jobs and conducting the company's business.  Also, we require all employees to sign a confidentiality and non-disclosure agreement as a term of their employment.

Visitors to our company cannot proceed past our reception areas unless they are escorted by an Image One employee. Cell phones are not required to be surrendered, but we do not allow visitors into our conversion services areas or document storage areas for any reason (even under escort). Those areas are locked 24/7 with a coded locking system. This is to guarantee the protection and appropriate treatment of our customers' information and property.

If a customer wants a product or conversion services process demonstration we use designated areas in our facilities for that and are careful to use mock documents for demonstration purposes only.

We have adopted all these rules and processes not only to meet regulatory and contractual requirements but also to be a responsible and professional custodian of our customers' records and information while it is in our physical control. I am sure that all other organizations (whether document or human imaging) that have adopted these rules feel the same way.
