Subject: Messy metadata
Hi All,
The organization I am working with uses Autonomy Records Manager to manage only its physical record, boxes stored off-site and on-site. There hasn't been any standard around the quality of the metadata entered into the system. Also, the retention schedules were developed at the record type level - there are no groupings of records.
As a result, we are unable to:
-identify records that are due for destruction
-aggregate records belonging to specific collections/types
We would like to clean-up the metadata that are currently in the system. I was asked what type of records management expertise is needed to assist with this project. My initial thought is, it would be best to contract a records professional who has experience managing physical records - we are not looking for this person to configure the database but to develop recommendations for clean up the old data.
We are updating the records inventory and developing a taxonomy - after the metadata clean-up the system will be modified with the new taxonomy structure and retention periods.
I would like to know:
1. Whether anyone on this listserv has ever done a similar project --
what was the approach
2. About any learning
3. Any other considerations
