I have seen another change in personnel files. Depending on the scope of what your organization considers personnel files (ie. payroll, benefits, and other such material), we are challenged by the enormous growth of SAAS applications in HR. These apps often include private clouds that actually house an organization's information in the vendor's servers.

Such developments mean that we have a much greater challenge to capture and preserve our own information. I believe that many of our peers have been shocked to discover that we only marginally "own" the data and that we have no control over the content, including the ability to selectively dispose according to written policy.

My advice is that you check carefully to determine where each series is stored. If you find SAAS, ask for the contract. Determine who owns the content and what your rights, as a client, actually are regarding the material. Then determine if it is even possible to apply disposition as you are required to do. Finally, respond to this listserv and tell us what you find!
